Collaborate with your team
EarlyForge supports multi-user editorial teams with role-based access and live, real-time editing. In this tutorial you build a team, invite members with the right roles, and work together in the editor with comments, @mentions, and version history.
Prerequisites: Team members are available on Pro and above (Pro 3 members, Scale 10, Enterprise custom). Real-time collaboration is a Pro+ feature. The Free and Starter plans are single-member.
Create a team workspace
A workspace is the top-level container for a team, its sites, and billing. When you sign up you get a private personal workspace; to collaborate, create a team workspace from the workspace switcher (top of the sidebar) — for example "TechPulse Editorial." It starts empty; you add sites when you're ready.
Everyone you invite joins this workspace and works across its sites, within the limits of their role.
Invite teammates
Open Team in the sidebar. You will see current members, pending invitations, and an invite button. Click Invite and:
- Enter one or more email addresses — you can paste several at once for a bulk invite.
- Pick a role for each invitee.
- Optionally add a personal message.
- Send the invitations.
Each invitee receives an email link to join. If they already have an EarlyForge account they are added on sign-in; if not, they sign up first (Google, Apple, or email) and then join. New members inherit your organization's sites and settings and can start working right away.
Assign roles
EarlyForge has five roles with clear boundaries. Pick the smallest role that lets each person do their job.

- Owner — full control, including billing.
- Admin — manages the team and sites, but not billing.
- Editor — full editorial control over articles, briefs, and trends.
- Writer — works on their own articles and their own alerts.
- Viewer — read-only.
How many distinct roles you can use depends on your plan: Pro = 3 roles, Scale = 5 roles, Enterprise = custom.
A typical 3-member Pro team:
- 1 Owner (you) — full control including billing.
- 1 Editor — full editorial freedom across all content.
- 1 Writer — creates and edits their own articles.
Edit together in real time
On Pro and above, real-time collaboration turns on automatically when two or more people open the same article — no setup needed. Everyone sees:
- Live cursors — each person's cursor in a distinct color with their name.
- Presence avatars — who is currently in the article, shown at the top.
- Instant sync — edits appear for everyone keystroke by keystroke, merged without conflicts even on the same paragraph.
Viewers and suspended members can open the article but are read-only.
Discuss with comments and @mentions
Select any text and leave a comment. Comments are threaded, so replies stay attached to the discussion. Type @ and a teammate's name to @mention them — they are notified and can jump straight to the comment.
Use comments for editorial feedback, fact-check requests, and sign-off, all without leaving the article or losing the thread.
Browse and restore version history
Every article keeps a version history. Open it to browse earlier snapshots of the document, compare against the current state, and restore any snapshot if you need to roll back a change. Nothing is lost — you can always return to where you were.
Manage members over time
As your team evolves, use the Team area to keep things tidy:
- Switch organizations if you belong to more than one.
- Rename, leave, or delete an organization (owners only for delete).
- Suspend a member — a suspended person keeps their account but loses access (their editing drops to read-only) until you reinstate them. Useful for offboarding without deleting history.
- Review the Activity log — an audit trail of member and organization changes, so you can see who changed what and when.
