Invite members, switch organizations, run the activity log, and suspend or remove access.
Manage your team
Your organization's team is the group of people who create, edit, and publish content across your sites. From the team settings you can invite members, switch between organizations, review an activity log of every change, and suspend or remove access.
Workspaces
EarlyForge organizes your work into workspaces. A workspace holds a team and its sites, and switching between them takes one click in the workspace switcher (top of the sidebar).
- Personal workspace — created automatically when you sign up. It's private to you: even admins of your other workspaces can't see it. Use it as your own sandbox for drafts and experiments. You can't invite anyone into it.
- Team / brand workspaces — the ones you create to collaborate. Invite members, add sites, and everyone in the workspace can work across all of its sites.
Create a new workspace from the + Create workspace action at the bottom of the workspace switcher. A common pattern for agencies is one workspace per brand or client, keeping each client's team and sites cleanly separated.
How many team workspaces you can create depends on your plan: Pro includes 1, Scale includes 3, and Enterprise is unlimited. Free and Starter include your personal workspace only — you'll be prompted to upgrade when you try to create a team workspace. Joining workspaces that other people create is always unlimited, on every plan.
One subscription covers every workspace you create. Your plan (models, word budget, features) applies to your personal workspace and every team workspace you own — at no extra charge. Your plan's included team members are a single pool you distribute across your workspaces (you count as one seat; each teammate you add counts as a seat in the workspace you add them to; viewers are free). On Scale you add seats beyond the pool at €10/month each. To keep unrelated work private, put it in a separate workspace.
View current members
Go to Settings → Team to see your team roster. Each member entry shows:
- Name — full name from their EarlyForge profile
- Email — the address they signed up with
- Role — their permission level (Owner, Admin, Editor, Writer, or Viewer)
- Last active — when they were last seen in the app
- Status — Active, Pending (invitation sent, not yet accepted), or Suspended
Invite members
You can invite one person at a time, or paste several email addresses at once for a bulk invite.
Open the invite dialog
From Settings → Team, click Invite members in the top-right corner.
Enter one or more emails
Type a single email, or paste a list of addresses separated by commas, spaces, or new lines to invite several people in one go. Invitees don't need an existing EarlyForge account — they'll be prompted to create one when they accept.
Select a role
Choose the role to assign: Admin, Editor, Writer, or Viewer. With a bulk invite, every address in the batch receives the same role. See Roles and permissions for what each role can do.
Send the invitations
Click Send. Each person receives an email with a link. When they open it, they sign up (or sign in) and join your organization with the assigned role.
Pending invitations appear in the roster with a Pending badge. You can resend or cancel a pending invitation at any time. Invitation emails are sent in the recipient's language where available.
Only Owner and Admin roles can invite members. The roles available to assign depend on your plan — see Team-member limits below.
Change a member's role
- Go to Settings → Team and select the member you want to update.
- Open the Role dropdown in the member panel.
- Choose the new role and click Save.
The change takes effect immediately. The member's permissions update the next time they load a page.
Only Owner or Admin can change roles. You can't change your own role if you're the only Owner — transfer ownership to another Admin first.
Suspend a member
Suspension is a reversible way to cut off access without deleting the person or losing their history. A suspended member keeps their account, but loses all access to your organization until you reinstate them.
- Go to Settings → Team and select the member.
- Click Suspend in the member panel.
- Confirm in the dialog.
While suspended, the member can't sign in to your organization, open articles, or join an editing session — they're effectively read-only at most, and locked out by default. Their drafts, edits, and contributions are preserved. Click Reinstate at any time to restore their previous role and access.
Suspend a member when someone is on leave, between contracts, or under review — it's safer than removal because nothing is lost and access is restored with one click.
Remove a member
- Go to Settings → Team and select the member.
- Click Remove at the bottom of the member panel.
- Confirm in the dialog.
Removing a member revokes all their access immediately and signs them out of any active sessions. Their previously created articles, briefs, and edits are preserved — but they can no longer view or edit anything. To restore access later, you'll need to invite them again.
The Activity tab
The Activity tab in team settings is an audit log of every membership and organization change. Use it to answer "who changed what, and when." It records events such as:
- A member invited, joined, or had their invitation cancelled
- A role changed (from which role to which)
- A member suspended or reinstated
- A member removed
- The organization renamed
- Ownership transferred
Each entry shows who performed the action, the affected member, and a timestamp. The log is read-only and gives you a clear trail for accountability and security reviews.
Switch organizations
You can belong to more than one organization — for example, your own workspace plus a client's. Use the organization switcher in the top of the sidebar to move between them. Switching changes the active organization for everything you see: sites, articles, trends, team, and billing all reflect the organization you're currently in.
Rename, leave, or delete an organization
From Settings → Organization:
- Rename — change the organization's display name. Owners and Admins can rename.
- Leave — remove yourself from an organization you no longer work with. You can't leave an organization where you're the only Owner — transfer ownership first.
- Delete — permanently remove the organization, its sites, and its content. Only the Owner can delete, and the action is irreversible.
Deleting an organization permanently erases its sites, articles, briefs, and team. This can't be undone. If you only want to step away, use Leave instead.
Working with clients?
Invite them as Viewers — free and unlimited on every plan. They see the articles, trends and dashboards you choose to share, without a paid seat and without being able to change anything.
How team billing works
Your subscription belongs to your workspace (organization), not to individual people:
- Invited members don't pay anything. Everyone you invite works under your workspace's plan — an editor invited into a Pro workspace gets Pro capabilities while working there, at no cost to them.
- Quotas are shared. AI words, articles, briefs and alerts are a common pool for the whole workspace, not per-member allowances. If your plan includes 25,000 AI words per month, that's 25,000 words for the entire team.
- Everyone keeps a free personal workspace. Joining a team never replaces your own space. The plan that applies at any moment is the one of the workspace you're currently working in — switch between them with the organization switcher in the sidebar.
- Viewers are always free and unlimited on every plan. Only owner, admin, editor and writer roles consume seats.
Team-member limits
The number of team members you can have depends on your plan:

If you reach your plan's limit, upgrade your subscription before inviting more members. On Scale, seats beyond the 5 included are added automatically at €10/month each when the invitee joins — billing adjusts at your next cycle, and viewers are always free and unlimited.
